Job Description:
We are seeking a highly organized and client-focused Onboarding Specialist to join our team. This person will serve as the primary point of contact for new clients after the sales process is completed. The Onboarding Specialist will conduct kickoff meetings, collaborate closely with clients and internal operations teams to gather all necessary information and access required to launch services successfully, and ensure a smooth transition to the CSM post-launch.
The ideal candidate is proactive, detail-oriented, skilled at problem-solving, and excels at guiding clients through technical and operational steps with patience and clarity.
Required Skills:
The perfect candidate is/has
- Proven experience in onboarding, client services, account management, or a similar customer-facing role.
- Strong organizational skills with the ability to manage multiple clients and deadlines simultaneously.
- Excellent written and verbal communication skills.
- Problem-solving mindset with a proactive and patient approach to resolving issues.
- Ability to explain technical concepts to non-technical clients clearly and patiently.
- Strong follow-up and attention to detail to ensure smooth project handoffs.
- Ability to collaborate effectively with cross-functional teams (sales, operations, customer success).
Not required, but helpful:
- Knowledge of marketing principles and best practices.
- Familiarity with Facebook Business Suite or similar digital marketing platforms.
- Experience or understanding of the automotive industry.
- Process improvement and documentation experience.
Job Responsibilities:
- Conduct kickoff meetings with new clients to set expectations, explain processes, and outline next steps.
- Act as the main liaison between sales, clients, and internal operations teams during the onboarding phase.
- Gather required client information, assets, and platform access needed to initiate services.
- Troubleshoot and resolve onboarding issues, including access, verification, and technical setup challenges.
- Provide step-by-step guidance to clients who may be less tech-savvy, ensuring a positive onboarding experience.
- Maintain timely and consistent communication with clients via email, phone, and video conferencing.
- Track onboarding progress, follow up on missing items, and proactively manage timelines.
- Document and improve onboarding processes to enhance efficiency and client satisfaction.
- Successfully transition clients to the Client Success Manager post-service launch.
